MP BAND – LATEST INFORMATION

Hope you are doing well. Please read all information below.

SCHEDULE OF “OPTIONAL REHEARSALS”: I have been trying to establish the best possible situation I can to start “optional rehearsals” that are slotted to start next week. Based on the criteria given to me by the county, here is the best possible solution I can come up with to work with.

Based on the criteria that we have been given, all rehearsals have to be outside. No student is allowed inside the building. If a student has to utilize a restroom, I have to clean the restroom right after it is utilized, so I am trying to keep the amount of time of the rehearsal down to a manageable chunk to where we minimize traffic to the restroom. That is not saying a child cannot use it. We are just saying we are trying to not utilize it if we don’t have to because of the guidelines we have been given.

To prepare for these rehearsals, please make sure you read the guidance below (from previous e-mail sent). More will come out this week…..

  1. INITIAL SCREENING FORM AND COVID-19 RELEASE AND WAIVER FORM: All students must complete an Initial Screening Form that is required for check-in on the first day of marching band rehearsal. All students must also complete a Covid-19 Release and Waiver Form. This form will also be required for check-in on the first day of marching band rehearsal. I have attached these forms to this e-mail. I am also going to mail a copy of this to your home (based on the address you gave me when you filled out the Commitment Form). IT IS IMPERATIVE THAT THIS IS RECEIVED ON THE FIRST DAY THAT A CHILD REHEARSES. IF WE DO NOT GET THIS, THE STUDENT CANNOT REHEARSE UNTIL IT IS RECEIVED.
  2. DAILY SCREENINGS: Upon check-in each day, all students and band staff will have their temperature taken and a daily screening will be conducted prior to leaving their car. In the event that a student’s temperature is 100.4 degrees or higher, they will be sent home and may not return until they have been evaluated by their primary care doctor. Digital forehead thermometers will be utilized to collect this data. I have to keep strict record of every child at every rehearsal on this. A very detailed method of student drop-off/arrival to rehearsal will be created and adhered to make this process as seamless as we possibly can. If your student travels in a vehicle with other students from the band to a rehearsal and one of them are running a fever, everyone in the vehicle must go home. NO EXCEPTIONS!!!
  3. MASK REQUIREMENT: All students will be expected to have a mask here. The following guidelines will be adhered to when it comes to the wearing of the mask in rehearsal:
    1. Masks must be worn by wind instrument students at all times unless music is being rehearsed or the students are performing something highly physical in nature (running, burpees, etc). During wind instrument music rehearsals and wind instrument PT sessions, your wind instrument students may remove their masks.
    2. Masks must be worn by percussion and colorguard students at all times unless the students are performing something highly physical in nature (running, burpees, etc). During percussion and colorguard PT sessions, your percussion and colorguard students may remove their masks.
    3. Staff will wear mask at all times.

Students will be expected to provide their own Ziploc bag for their mask to go into when not being worn. If you would like, you may wear a Gaiter Mask that can be pulled down from your mouth/nose area to your neck (see picture attached). If you are in need of a mask, we will have some, but we ask that everyone make an attempt to bring their own.

  1. WATER BOTTLES: All students will be expected to bring their own water bottle.
  2. REHEARSAL SPACE: All rehearsals will be outside. There will be no rehearsals inside. Plan appropriately (sun block, cool clothing, etc.)
  3. SPECTATORS: Spectators are not allowed on campus. If parents/guardians must stay in order for your students to have a ride after practice, they must stay in their own personal vehicles while on campus.

LEADERSHIP WORK DAYS: For my students who are on the leadership team, I am formulating a game plan on this. More to come…….

BAND CAMP AND BEYOND: Outside of the optional rehearsals, we are currently following the Plan “B” schedule, which can be found in the band handbook. Our first day of band camp is August 3rd. From that point on, rehearsals and camps become mandatory. Please adhere to the attendance policy laid out in the band handbook (section copied below). I have gotten some e-mail traffic about certain schedule conflicts. Please go to https://forms.gle/u8txNhzrQhkK3k5f8 to submit an absence request form. This helps me to keep things organized. Remember, communication is key.

“Members are expected to be at every rehearsal and performance of the Mount Pleasant Band. In general, cases of illness (must have a valid doctor’s excuse), death in the family or extreme family emergency are the only excuses that will be accepted for missing a rehearsal or performance. Conflicts with work, other school activities, church, and community activities along with routine dental or doctor appointments will generally be

considered unexcused absences. Talk with Mr. Lee at least two days prior to rehearsal to get possible clearance. Communication is key!!!!!!!

Under most circumstances, an absence from a performance without prior approval will result in dismissal from the organization with no refund of fees paid or at least a regulation to “alternate” status for the remainder of the season. A parent-teacher conference will be requested for any student who accumulates more than two absences from rehearsals.

Late arrivals and early dismissals must also be cleared in advance with Mr. Lee only. Corrective measures will be taken against any members who arrive late to rehearsals. Members will not be excused to leave after halftime performances at football games except in the event of illness or family emergency. Any student who leaves any event or rehearsal without proper dismissal will receive an unexcused absence. Two late arrivals will constitute an unexcused absence.

Each member should arrive early for all announced rehearsals and performances. Members should be in place, ready to go, before the call time, not at the call time.

Any requests for a planned absence, late arrival or early dismissal must be submitted via our Google Form (https://forms.gle/u8txNhzrQhkK3k5f8) at least two days in advance to Mr. Lee. No staff member, instructor, booster or parent can excuse a student for any reason. You may, in addition, contact the appropriate staff member or instructor for information purposes only.

If you receive an unexcused absence within the week, you will not perform in the next performance. If you receive two unexcused absences, you will be dismissed from the marching band without refund of fees.

It is essential that we have complete student and parental cooperation in this matter. Any absence, regardless of reason, creates a hardship for everyone.”

IN CLOSING: Please understand that things are NOT operating in a normal fashion right now. I am one that likes to be highly organized with scheduling, etc. so that everyone involved has a clear picture. To be quite honest, this has been extremely hard to do. The schedule that has been created may very well have to change. This is the best plan I can come up with as of now. I appreciate your patience as we work through this.
